Team and organization

Team, roles and points of sale

User rights come in five levels: cashier, seller, manager, observer, owner. Your cashier cashes in all day without ever seeing that a bag sold at $34.00 cost you $26.00. Count two minutes to bring someone in.

The five levels

Five levels, chosen in a single word

You do not tick forty permissions one by one. You say "cashier" and the screen is set for the day.

The five access levels as a stair, from observer to owner, with what each level sees and can decide Observer reads the reports, touches nothing Cashier cashes in, prints the receipt counts the drawer, closes the register ✕ no purchase price, no margin Seller takes the orders draws up the quotes creates a customer record discount ≤ his cap ✕ does not cash in Manager approves discounts and losses credit notes, voids sees purchase prices and margins runs the team and the products full reports ✕ not the subscription EVERY PLACE IN HIS CARE Owner everything a manager does on every point of sale the plan and the payment subscription invoices delete the organization ONE ONLY PER SPACE That is you, to start with. Each step adds what the one before could not see. You move a level up or down from the person's record.

Owner

That is you, to start with. Everything a manager does, in every place, plus the subscription and deleting the space. One only per space.

Manager

The manager, the team leader. He approves discounts above the cap, losses and credit notes, and he sees that the bag sold at $34.00 was bought at $26.00.

Cashier

He cashes in and closes the register at night. His screen shows no purchase price, no margin, no monthly report.

Seller

Orders and quotes, on the floor or at the customer's: three bags of rice, two hours of labour, a session, an association membership fee. He does not cash in, and above $5.00 of discount he asks for approval.

Observer

The accountant, the partner, the funder. He reads the reports without being able to change anything, and you stop sending a spreadsheet on the 5th of each month.

The level changes in one move

From the person's record, applied at their next sign-in.

Number of accounts: one on Free, three on Essential at $15, ten on Business at $30, thirty on Growth at $50, no limit on Enterprise.

What each one sees

Two people, two screens, the same software

The access level does not grey out buttons, it takes the lines away. Your cashier does not even know a "margin" column exists.

The same sale line on two screens: the cashier sees the selling price alone, the manager also sees the purchase price and the margin REGISTER 1 · CASHIER LEVEL What the cashier sees 8 712 004 118 032 Fragrant rice 25 kg 34,00 Cash in 34,00 $ Purchase price — not on the screen ✕ Margin, monthly reports, team ✕ same sale TODAY'S BOARD · MANAGER LEVEL What the manager sees Fragrant rice 25 kg 34,00 Purchase price 26,00 Margin on the line 8,00 Decisions waiting 2 Register gap for the week −4,00 One single sale recorded. Cashier level

The register screen

Products and services, basket, total, change to give, evening cash-up. No purchase price, no margin. A new recruit holds the counter from his first morning.

Manager level

The manager's screen

Taken today, margin, two decisions waiting, products below threshold, a register gap of −$4.00 over the week. He reads that on his phone in twenty seconds, between two appointments.

The approvals

Five decisions a cashier never takes alone

Five places where money walks out, $5.00 at a time. The request reaches the manager's phone, he answers, and the sale picks up where it stopped.

A discount above the cap blocks the register, goes to the manager's phone, and comes back granted with his name and the time 1. The register stops Sale total 128,00 Discount asked for 15,00 Seller's cap: $5.00 Cash in — unavailable request 2. The manager 1 request Discount $15.00 Seller: Hassan Customer balance: $0 Grant Refuse answer 3. The sale picks up Discount given Approved by Marie L., manager 30/09/2026 · 11:14 Cash in $113.00 The approval line stays on the invoice, in the log and in the monthly report.
1

A discount above the cap

Each level has its cap, as an amount. A seller limited to $5.00 who gives $15.00: the register waits for the answer.

2

A write-off for loss

Breakage, theft, expired goods. The reason is required and the write-off carries a name.

3

A credit note to the customer

Three cans brought back, a session not used: the customer leaves with $66.00 of credit.

4

A part payment

$200.00 paid on $363.05, an association fee paid in two goes. The rest becomes a credit and the balance is shown.

5

A sale cancelled

A sale cashed in is not erased, it is cancelled. Stock comes back and both lines stay in the log.

Every decision keeps the name and the time

"Approved by Marie L., manager, on 30/09/2026 at 11:14." The line stays on the invoice and in the log. Nobody deletes it, not even you.

Several points of sale

A shop, a depot, a truck, a market stall

Multi-shop management gives each place its own stock and its own register. The 38 units loaded into the truck leave the depot by a traced transfer, and in the evening the three registers make $1,690.50 in one single report.

Three points of sale, each with its own stock and register, and a traced transfer between the depot and the truck: everything comes up in one single report Shop stock on the shelves 12 today's register 1 284,50 Depot stock in the stockroom 0 no sales — Truck stock loaded in the morning 38 the round's register 406,00 traced transfer One single report split by place in one move 1 690,50 Twelve units in the shop and none at the depot: both figures are right at the same time.

The shop

Stock on the shelves, one register, one cashier. Its report comes out every evening at closing.

The depot

Stock and no sales. What leaves it goes out as a transfer to another place.

The truck

Loaded with 38 units in the morning, counted again at night. The gap between the two is the round.

The market stall

Two days a week, cashed in on a phone, with its own cash-up.

Add someone

Two minutes to bring a person into the team

You send an invitation carrying an access level, and the person picks their own password. You will never see it, so no more code written on a paper under the counter.

✓The invitation goes by message or by email, and expires after 7 days if nobody uses it.
✓Whoever leaves loses access in one move. Their sales stay in the log, with their name on them.
